ContractorLink LLC (“ContractorLink,” “we,” “us,” or “our”) operates the ContractorLink platform, accessible at getcontractorlink.com and contractorlink.app (the “Platform”). This Privacy Policy explains how we collect, use, disclose, and protect information about contractors and their website visitors when you use our Platform.

By creating an account or using the Platform, you agree to this Privacy Policy.


1. Information We Collect

Information You Provide Directly

When you sign up for ContractorLink or configure your account, we collect:

  • Account information: Your name, business name, email address, phone number, and time zone.
  • Business information: Services you offer, service area descriptions, business description, and any content you enter into your website sections (photos, project descriptions, team details, testimonials, etc.).
  • Uploaded files: Photos and videos you upload to your gallery or profile.
  • Social media credentials: OAuth access tokens for connected social accounts (Facebook, Instagram, TikTok). These tokens are encrypted at rest and used only to publish content you authorize.
  • Communications: Any messages you send to us via email or support channels.

Information We Collect Automatically

When you use the Platform, we automatically collect:

  • Session data: Authentication session identifiers to keep you logged in.
  • Usage and analytics data: Page views, time on page, referring URLs, browser type, device type, and IP address — collected to help you understand your site’s performance via your analytics dashboard.
  • Session recordings and heatmaps: We use Microsoft Clarity, a third-party analytics service, to record anonymized session replays and heatmaps of how users interact with the ContractorLink platform (not your tenant site). This helps us identify usability issues and improve the product. Microsoft Clarity may collect mouse movements, clicks, and scrolling behavior. Information Collected on Behalf of Contractors (Tenant Site Data)

Your ContractorLink-powered website collects information from your site visitors:

  • Contact form submissions: When a visitor submits a contact form on your site, we collect their name, email address, phone number, and message. This data is stored in the ContractorLink database on your behalf and is accessible to you through your admin dashboard.
  • Review submissions: When visitors submit reviews on your site, we collect their name, email address, star rating, and review text.
  • Review invitations: When you send a review request, we store the recipient’s email address and name to track delivery and prevent duplicate requests.
  • Page view data: We collect anonymized page view counts for your site to power your analytics dashboard.

You, as the contractor, are the data controller for information collected through your tenant site. ContractorLink acts as a data processor on your behalf for this data.


2. How We Use Your Information

We use the information we collect to:

  • Provide the Platform: Create and maintain your website, process contact form submissions, manage reviews, and publish content to connected social accounts on your behalf.
  • Analytics: Generate the analytics and growth score data displayed in your admin dashboard.
  • Authentication: Verify your identity and maintain secure sessions.
  • Communications: Send transactional emails (magic link sign-ins, review invitation emails, system notifications). We do not send marketing emails without your explicit consent.
  • Platform improvement: Use aggregated, anonymized usage data and session recordings (via Microsoft Clarity) to identify issues and improve the ContractorLink interface.
  • Security: Detect and prevent fraud, abuse, and unauthorized access. We maintain a security event log for this purpose.
  • Legal compliance: Meet our legal obligations and enforce our Terms of Service.

3. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

  • Service providers: We use third-party vendors to operate the Platform, including hosting infrastructure, email delivery, and analytics (Microsoft Clarity, Google Places API). These vendors are contractually prohibited from using your data for any purpose other than providing services to us.
  • Social platforms: When you connect a social account and authorize content publishing, we share that content with the applicable platform (Facebook, Instagram, TikTok) using your OAuth credentials.
  • Legal requirements: We may disclose information if required by law, subpoena, or other legal process, or if we believe disclosure is necessary to protect the rights, property, or safety of ContractorLink, our users, or the public.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you via email prior to your information being transferred.

4. Data Retention

  • Account data: Retained while your account is active. Upon account termination, we retain your data for 30 days to allow for reactivation or export, then delete it.
  • Contact form submissions and reviews: Retained indefinitely while your account is active so you maintain a complete record. Deleted when your account is deleted.
  • Page view and analytics data: Retained for 24 months on a rolling basis.
  • Security events: Retained for 12 months.
  • Session recordings (Clarity): Governed by Microsoft Clarity’s retention policy (typically 30 days).

5. Data Security

We implement industry-standard security measures to protect your information:

  • All data is transmitted over HTTPS (TLS encryption).
  • OAuth tokens for connected social accounts are encrypted at rest.
  • Authentication uses magic links (no passwords stored).
  • Sessions are secured with signed, HTTP-only cookies.
  • Access to production systems is restricted to authorized personnel.

6. Your Rights

All Users

You may:

  • Access your data: Request a copy of the personal information we hold about you.
  • Correct your data: Update inaccurate information through your account settings or by contacting us.
  • Delete your data: Request deletion of your account and associated data. Note that some data may be retained for legal compliance purposes.
  • Export your data: Request an export of your contact submissions, reviews, and analytics data. (Automated export functionality is on our roadmap.)

California Residents (CCPA)

If you are a California resident, you have the right to:

  • Know what personal information we collect, use, disclose, and sell about you.
  • Delete personal information we have collected from you (with certain exceptions).
  • Correct inaccurate personal information.
  • Opt out of the sale or sharing of personal information. We do not sell personal information.
  • Non-discrimination for exercising your privacy rights.

8. Third-Party Links

Your ContractorLink website may link to third-party sites (e.g., your Google Business Profile, social media pages). We are not responsible for the privacy practices of those sites.


9. Children’s Privacy

The ContractorLink Platform is not directed to children under 13. We do not knowingly collect personal information from children. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.


10. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email and update the “Last Updated” date above. Your continued use of the Platform after the effective date constitutes acceptance of the updated policy.
